How Venue Move-In Windows Shape the Installation Plan
Every exhibition venue works to a build-up schedule. The available move-in window affects when the installation crew can enter the hall, how much working time is available and when the stand must be ready for handover.
Before the event, we review the exhibition dates, venue access information, stand number, available floor plan and the required completion time. This allows the crew to arrive with a defined installation sequence rather than deciding the order of work after reaching the hall.
Where an approved 3D concept is available, it can be used as a visual reference for important positions, branding areas and the intended finished appearance.
Venue instructions also matter. Restricted access times, designated loading periods or changes to the organiser’s build-up programme can affect the on-site schedule. When those details are communicated early, the installation plan can be adjusted before move-in rather than during the final hours before opening.
The objective is straightforward: use the available venue access efficiently and complete the agreed setup within the working window provided.
From Venue Access to a Show-Ready Stand
Installation begins once access to the allocated space is available. The crew checks the working area, reviews the agreed setup references and starts assembling the stand in a sequence suited to the actual site conditions.
A typical installation may include:

Where printed elements form part of the completed presentation, final artwork and production should be prepared before the on-site stage. Likewise, screens or other digital presentation equipment should be identified before installation begins so their position can be considered during the setup sequence. The installation team remains focused on the on-site setup itself. Supporting services are coordinated separately so that the purpose of this page stays clear: getting the agreed exhibition setup ready on the show floor.
Installation Checks Before Client Handover
Finishing assembly is not the same as completing the installation. Before handover, the installed setup should be reviewed against the agreed project information so that obvious positioning, alignment or presentation issues can be addressed while the installation crew is still on site.
The final review may include checking:
- Major component positions
- Visible alignment between connected elements
- Branding placement against the approved reference
- Product presentation areas included in the setup
- Screens or visual features already positioned on site
- Access points and agreed usable areas
- Overall appearance from the main visitor approach
- Outstanding installation items within the agreed scope
This check is particularly important when several visual elements need to work together. A component may be correctly assembled but still need adjustment because its position affects branding visibility or another important presentation area.
Once the agreed setup has been reviewed, it can be handed over to the client for their final event preparation. This gives both sides a clear point at which the installation stage has been completed rather than leaving responsibility uncertain immediately before the exhibition opens.

What Happens After Show Close: Dismantle and Venue Clearance
Dismantling is part of the event schedule and should be considered before installation begins. Once the exhibition closes and move-out access is released, the team starts taking down the agreed stand elements in a controlled sequence. Working in an organised order helps reduce confusion on a show floor where many exhibitors may be dismantling at the same time.
The dismantling scope may include:
- Initial post-show check of the stand area
- Controlled removal of agreed display elements
- Dismantling of the installed components
- Separation of items that require different handling
- Collection of loose installation materials
- Final clearance of the allocated stand space
- Area check before the on-site work is closed
The available move-out period is important. Exhibition venues frequently set deadlines for clearing stand spaces, so dismantling needs to work within that window rather than beginning without a defined completion point.
If materials need to move into another stage after dismantling, those arrangements should already be established before the show closes. The installation crew’s responsibility remains the agreed on-site dismantling and clearance scope. This separation keeps responsibilities clear and helps prevent last-minute uncertainty once the exhibition has ended.

A smooth installation starts with clear site information. Before move-in, we need the exhibition and venue details, hall and stand number, confirmed dimensions, floor plan, access times, show-ready deadline, move-out schedule and any organiser or venue instructions that could affect the setup.

01What does your trade show installation and dismantle service include?
The exact scope depends on the project, but it can include on-site assembly, positioning of agreed elements, installation checks, handover and post-show dismantling. The stand area is then cleared according to the agreed responsibilities and venue move-out period. If the project also requires wider scheduling or coordination beyond the physical on-site work, that can be discussed separately through our trade show project management service.
02What information should we send before the installation date?
We normally need the exhibition name, venue, hall and stand number, dimensions, floor plan, move-in schedule, required completion time and information about the elements being installed. If an approved visual concept is already available, share it with the crew as part of the setup information. Our 3D rendering and concept development page explains how visual references can be developed before the project reaches the venue.
03Can branding and printed graphics be installed during the setup?
Where printed graphics are already part of the agreed installation scope, their placement can be considered during setup. Final artwork, sizing and print production should be completed before the on-site installation period. 04What about screens and digital presentation equipment?
Screens and digital presentation elements should be identified before installation so their intended positions are clear during setup. Their equipment specification and rental remain a separate requirement from the I&D scope. Where needed, these can be arranged through our audio visual equipment rental service.
05How early should installation arrangements be confirmed?
There is no single booking period that applies to every exhibition. The required lead time depends on the venue schedule, stand complexity, access window and how complete the setup information is. The earlier we receive reliable project details, the easier it is to identify missing information before the installation crew reaches the venue.
06Does the venue determine when installation can begin?
Yes. Installation normally begins only when the organiser or venue releases access to the relevant hall or stand area. This is why the move-in schedule is one of the first pieces of information we request. It defines how much working time is available before the setup must be handed over.
07Is dismantling automatically included after the exhibition?
Dismantling should be clearly included in the agreed scope rather than assumed. Where it is included, the team returns after show close and begins work once venue move-out access becomes available. The agreed stand components are dismantled and the allocated area is cleared within the permitted period.
